ORGANIZATIONAL RELATIONSHIPThe Family Support Project Specialist reports directly to the Center for Schools and Communities Family Support and Community Engagement Director and in their absence the Strategic Initiatives Director.

 

JOB DEFINITION:  The Family Support Project Specialist will be responsible for the support of program staff on the family support initiatives and will work closely with the Family Support and Community Engagement (FSCE) Director and Program Coordinators in their work on behalf of children and families in Pennsylvania.  This individual will assist agency staff with event planning, resources, reports, technical assistance, and other products and services related to the contract deliverables contained in the Center for Schools and Communities (CSC) work statements.  Special projects will be assigned as the need arises.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Program Support

  1. Work with family support staff to develop appropriate professional learning (in both online and place-based environments) for constituents to enhance their effectiveness. This will include locally developed through nationally authorized events.
  2. Act as a point person for the multiple professional learning activities: workshops, courses, conferences, learning communities with program staff.
  3. Coordinate the events planning: schedule meetings, take notes and conduct follow-up work.
  4. Establish calendar of events with family support staff and follow protocols for place based or virtual room reservations and registrations.
  5. Adhere to timelines and procedures for the events and keep Family Support staff apprised of timelines and information that may be required.
  6. Assist with the development of the conference framework and agenda with family support team; draft the call for presenters, work with the tech team to develop the submission database.
  7. Monitor the presenter submissions, bring submissions to planning committee, send rejection letters to non-selected presenters.
  8. Communicate with selected presenters, obtain all documents needed for fiscal operations for presenters receiving compensation, obtain all necessary information regarding the presentation including resumes, workshop titles and descriptions, bios, images, presentations, handouts, and tech needs for any event (conference, course or workshop) as necessary.
  9. Work with the CSC cross systems staff to seek and provide support in the planning implementation of events.
  10. Create professional wording for draft memos, emails and letters about events and for program support.
  11. Create charts, minutes, forms, reports, proposals and other related items for assigned projects.
  12. Assist with general organization and operation of the Family Support initiatives.
  13. Work collaboratively with the Family Support team and OCDEL.
  14. Provide high quality technical assistance for assigned programs.
  15. Assist with and/or coordinate special projects that arise, including the development of publications and presentations, in coordination with the necessary staff.
  16. Complete preliminary internet searches and research for the various programs, including new and evolving best practices and resources.
  17. Research and order supplies and materials for assigned projects.

 

Information Management

  1. Manage program related data in the Customer Relationship Management (CRM).
  2. Develop and maintain contact lists (E.g. Parents as Teachers, Children’s Trust Fund, Strengthening Families, Parent Café), and other entities involved with statewide family support services.
  3. Input data into various software programs for assigned programs operated through the Center for Schools and Communities/CSIU.
  4. Responsible for development and upkeep of multiple, complex databases.
  5. Maintain collection and filing systems as needed to support the Family Support work.
  6. Responsible for generating reports on various programs.
  7. Review and distribute statewide correspondence and publications as requested.
  8. Assemble information for NewsBrief, other regular communications, and for Family Support websites and social media sites.
  9. Process continuing education credits (multiple different accreditation bodies) for all qualified Family Support professional learning sessions as necessary.
  10. Ensure compliance around federal, state and district education policies and continuing education credits.

 

Liaison

  1. Develop and maintain contacts with appropriate Central Susquehanna Intermediate Unit (CSIU) staff, state departments, coalitions, other service agencies, and other related CSIU programs.
  2. Upon request, attend conference calls, webinars, conferences, state leaders and other meetings regarding quality program implementation.
  3. Participate in CSC staff meetings and participate in special meetings and/or task force meetings.
  4. Attend specified conferences and trainings to remain current in the field.

 

OTHER DUTIES AND RESPONSIBILITIES:

  1. Assist with special projects for the Center for Schools and Communities.
  2. Other duties as assigned by immediate supervisor or their designee.

 

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • A Bachelor's degree in education, social services, information sciences or a related field and minimum three (3) years of related experience preferred; or an Associate’s degree and minimum five (5) years of related experience.
  • Knowledge of project management methods and techniques to ensure the coordination of internal and external clients and processes to achieve desired outcomes.
  • Advanced computer skills required, such as profciency in File maker, Microsoft Word, Excel and PowerPoint.
  • Advanced skills in Zoom such as setting up registration, adding polling questions, opening the room, creating breakout sessions and using the Zoom Interpretation feature.
  • Ability to work independently and as a team member.
  • Ability to complete complex projects in an efficient and effective manner.
  • Ability to multi task and prioritize work assignments.
  • Ability to develop and maintain positive relationships with colleagues and clients both internal and external.
  • Excellent interpersonal skills as well as excellent written and verbal communication and public speaking skills.
  • Excellent research skills, utilizing the internet as well as print and other sources. Proficiency in the use of appropriate technology to carry out assigned duties efficiently, as described above.

 

ADDITIONAL ELIGIBILITY QUALIFICATIONS:

  • Current, approved Act 34 (PA State Police), Act 151 (PA Child Abuse Registry) and Act 114-FBI Fingerprint clearances are required and must be renewed at appropriate, specific intervals pursuant to Act 153 of 2014 (revised Act 15 of 2015).
  • Current, approved Act 126 Mandated Reporter Training certificate showing completion of a minimum of three (3) hours training every five (5) years.

 

PROFESSIONAL DEVELOPMENT REQUIREMENTS:

  • Attend all required meetings, and trainings to maintain accurate and current knowledge and skill sets related to programming.
  • Attend relevant conferences, trainings, and in-services to maintain and enhance professional development as recommended by the immediate supervisor or required of the position.

 

PHYSICAL REQUIREMENTS:

  • Sedentary: Able to sit for extended periods of time, occasional walking, standing (as necessary) and able to lift and carry up to 25 pounds.
  • Dexterity: Finger movements (computer keyboard, calculator), eye-hand coordination (office equipment, etc.).
  • Audio-Visual Requirements: Within normal range with or without correction.
  • Is able to move throughout all buildings, floors and grounds.
  • Worksite Environment: Primarily indoors-office setting with occasional exposure to outdoor elements/climate during the day.
  • Mental demands: Steady response to unpredictable situations, ability to remain calm and productive during stressful situations. Demonstrates independent judgment, discretion and is able to manage multiple projects and deadlines.
  • Ability to travel to various work site locations and meetings as needed.

 

TIME REQUIREMENTS:

  • This is a full-time exempt position following a 12-month, 260-day schedule.
  • Statewide travel for meetings, trainings and conferences. Occasional overnight travel for meetings and training events.
  • Occasional non-traditional hours are necessary on evenings and weekends.
  • Attendance at work is a requirement of this position; any and all absences must be approved by the immediate supervisor.
