JOB ASSIGNMENT:  This full-time position follows a regular Monday through Friday (37.5 hours per week) work schedule with the opportunity to allow a hybrid work schedule consisting of three (3) days in-office work at the Center for Schools and Communities office located in Camp Hill, PA location and two (2) days telework from home and/or approved off-site locations.  In addition, face-to-face interaction with clients, meetings and trainings may be required on days deemed as teleworking days.  Certain requirements, based upon CSIU telework policy and administrative regulations, must be met.  The CSIU has the right to cancel or suspend the employee teleworking privileges at any time, for any or no reason due to the requirement of the CSIU and client needs.

 

 

ORGANIZATIONAL RELATIONSHIPThe Migrant Education Program Project Specialist reports directly to the Center for Schools and Communities (CSC) Youth Development Program Manager and in their absence the Assistant Director.

 

JOB DEFINITION: 

The Center for Schools and Communities Project Specialist will be responsible for the support of program staff on the youth development initiatives and will work closely with the Program Manager and Program Coordinators in their work on behalf of children and families in Pennsylvania.  This individual will assist agency sta? with resources, reports, event planning, technical assistance, and other products related to the contract deliverables contained in the CSC’s work statements.  Special projects will be assigned as the need arises.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Program Support

  1. Provide high level program support for technical assistance to Migrant Education Program (MEP) families and program staff
  2. Create professional wording for draft memos, emails and letters for program support.
  3. Create charts, minutes, forms, reports, proposals and other related items for assigned projects.
  4. Assist with general organization and operation of the Center for Schools and Communities.
  5. Work with sta? to develop appropriate training for teachers, administrators and community members to enhance their e?ectiveness. Assist sta? in determining training and technical assistance needs in schools and communities.
  6. Coordinate the content and logistics of MEP annual statement of work with the manager.
  7. Work collaboratively with the PA Department of Education, CSC staff and statewide MEP staff.
  8. Assist with and/or coordinate special projects that arise, including the development of publications and presentations, in coordination with the necessary sta?.
  9. Act as project lead for the annual MEP conference, MEP graduation, statewide parent coordinator and recruitment specialist meetings, and the annual State Parent Advisory Council Conference. Adhere to timelines and procedures for the event.
  10. Establish and coordinate the conference planning committee; schedule meetings, take notes and build the conference framework and draft agenda.
  11. For all events, follow protocols and procedures, including use of all planning tools such as Pheedloop, an event planning platform and associated project management tools. Develop the call for presenters, monitor the presenter submissions, bring submissions to the planning committee, send rejection letters to non-selected presenters.
  12. Communicate with selected presenters, obtain all documents needed for fiscal operations for presenters receiving compensation, obtain all necessary information regarding the presentation including resumes, workshop titles and descriptions, bios, images, PowerPoints, handouts, and tech needs.
  13. Work with the CSC cross systems staff to provide support in the planning implementation of additional trainings, the State PAC quarterly meetings and conference, Migrant Education student camps, and regional workshops.
  14. Research and order supplies and materials for assigned projects.
  15. Provide high quality technical assistance for assigned programs.
  16. Work with sta? to develop appropriate training for teachers, administrators and community members to enhance their e?ectiveness. Assist sta? in determining training and technical assistance needs in schools and communities.

 

Information Management

  1. Ability to manage program related data in the Customer Relationship Management (CRM) Develop and maintain address and phone lists of MEP project areas, school districts, agencies, universities and others involved in statewide Migrant education.
  2. Responsible for development and upkeep of multiple, complex databases.
  3. Responsible for generating reports on various programs.
  4. Maintain collection and filing systems as needed to support the Migrant Education Program.
  5. Input data into various software programs for assigned programs operated through the Center for Schools and Communities.
  6. Assist with the translation of various materials for Center for Schools and Communities programs.
  7. Review and distribute statewide correspondence and publications.

 

Research and Evaluation

  1. Complete preliminary internet searches and research for the various programs, including new and evolving best practices and resources.
  2. Analyze research results and present them in a concise and professional manner.
  3. Responsible for formatting and analysis of survey and evaluation information post conferences.
  4. Support and assist with the establishment, implementation and achievement of performance measures for assigned programs.
  5. Develop and maintain contacts with appropriate Central Susquehanna Intermediate Unit (CSIU) staff, state departments, coalitions, other service agencies, and other related CSIU programs.
  6. Upon request, attend conference calls, webinars, conferences, state leaders and other meetings regarding quality program implementation.
  7. Participate in CSC staff meetings and participate in special meetings and/or task force meetings.
  8. Attend specified conferences and trainings to remain current in the field.

 

OTHER DUTIES AND RESPONSIBILITIES:
