JOB ASSIGNMENT:  This full-time position follows a regular Monday through Friday (37.5 hours per week) work schedule with the opportunity to allow a hybrid work schedule consisting of three (3) days in-office work at the Center for Schools and Communities office located in Camp Hill, PA location and two (2) days telework from home and/or approved off-site locations.  In addition, face-to-face interaction with clients, meetings and trainings may be required on days deemed as teleworking days.  Certain requirements, based upon CSIU telework policy and administrative regulations, must be met.  The CSIU has the right to cancel or suspend the employee teleworking privileges at any time, for any or no reason due to the requirement of the CSIU and client needs.

 

ORGANIZATIONAL RELATIONSHIP: The Family Support Project Specialist reports directly to the Family Support and Community Engagement Director and in their absence the Center for Schools and Communities Assistant Director.

 

JOB DEFINITION:

The Family Support Project Specialist will be responsible for the support of program staff on the family support initiatives and will work closely with the Family Support and Community Engagement (FSCE) Director and Program Coordinators in their work on behalf of programs that serve children and families in Pennsylvania. This individual will assist agency sta? with event planning, administrative tasks, communications, website and social media updates, reports and other products and services related to the contract deliverables contained in the Center for Schools and Communities (CSC) work statements.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Program Support

  1. Work with family support sta? to provide high-level program support for professional learning events (in both online and in-person based environments) for constituents to enhance their e?ectiveness. This will include locally developed through nationally authorized
  2. Act as project lead for scheduling and monitoring the multiple professional learning activities: workshops, courses, conferences, learning communities with program
  3. Coordinate the events planning process with staff: schedule meetings, take notes and conduct follow-up work.
  4. Establish calendar of events with family support staff and prompt actions necessary to carry out events.
  5. Follow protocols for place-based or virtual room reservations and Process participant conference registration, exhibitor payments, and conference requests for billings.
  6. Initiate event invitations with registration and reminder mailings and
  7. Track registration, actual attendance, and attend to participant ADA and language
  8. Adhere to timelines and procedures for the events and keep Family Support staff apprised of timelines and information that may be required.
  9. Assist with the development of the conference framework and agenda; schedule team meetings to conduct work; follow CSC guidelines and processes.
  10. Work with the CSC cross systems staff to seek and provide support in the planning implementation of events.
  11. Edit and create professional wording for draft memos, emails and letters about events and for program support.
  12. Create charts, minutes, forms, reports, proposals and other related items for assigned
  13. Work collaboratively with the Family Support team; assist with general organization and operation of the Family Support initiatives including product management.
  14. Assist with and/or coordinate special projects that arise, including the development of publications and presentations, in coordination with the necessary sta?.
  15. Research and order supplies and materials for assigned
  16. Assure information and documentation are accurate and help prepare contracts and letters of agreement for signatures.

 

Information Management

  1. Manage company related data in the Customer Relationship Management (CRM).
  2. Develop and maintain contact lists (E.g. Parents as Teachers, Children’s Trust Fund, Strengthening Families, Parent Café), and other entities involved with statewide family support services.
  3. Input data into various software programs for assigned programs operated through the Center for Schools and Communities/CSIU.

  7. Review and compose communication and distribute statewide correspondence and publications as requested; arrange for postal mailings as necessary.

  9. Solicit, gather and assemble information to write and distribute email and social media posts for Family Support websites and social media sites.
  10. Process continuing education credits (multiple different accreditation bodies) for all qualified Family Support professional learning sessions as necessary.

 

Liaison

  1. Develop and maintain contacts with appropriate Central Susquehanna Intermediate Unit (CSIU) staff, state departments, coalitions, other service agencies, and other related CSIU
  2. Upon request, attend conference calls, webinars, conferences, state leaders and other meetings related to family support work.
  3. Participate in CSC staff meetings, Support Staff Huddles, special meetings, work groups and/or task force meetings.
  4. Attend specified professional learning courses to remain current in the
  5. Upon request, work with team members to research various programs, best practices and resources, format survey and evaluation data from specific events, assist with the achievement of performance measures for assigned programs.
